SIGNAGE PLANNING GUIDE
Planning signage in KL or Malaysia: a quotation checklist
For a useful signage quotation, send your building location, a sign list, approximate sizes and quantities, reference photos or drawings, and your target date. Identify which decisions are confirmed and which need advice.
1. List signs by location
For a condominium, walk the route from the entrance through the car park, lift lobby and unit corridor. List building identity, block names, level signs, unit numbers and shared facilities. Keep Bomba and MEP identification in the schedule so they are included in coordination.
For a hotel or office, add reception, rooms, meeting areas and visitor directions. A spreadsheet with one row per sign location is more useful than a collection of unlabelled reference images. Give each sign a reference code, wording, location, quantity and approximate size.
2. Separate design references from specifications
A photograph can communicate a preferred look, but it does not establish the material, thickness, lighting or fixing method. Tell the contractor what you like: slim lettering, a flush plaque, a satin finish or a discreet directional panel. Mark any requirements already specified by your architect or designer.
Compare quotations against the same scope. A price for a supplied sign may exclude removal of the old sign, access equipment, electrical work or installation. Ask which items are included and which need separate coordination.
3. Share the site constraints
Photograph the proposed mounting surface and the surrounding area. Include any known access restrictions, working hours, building-management procedures and delivery arrangements. A sign above an entrance and a small unit-number plaque have very different installation needs.
For an occupied building, explain whether work must happen in phases. Confirm who coordinates site access and who signs off the completed installation. These details help define a realistic programme without assuming every location can be installed at once.
4. Confirm shop drawings before production
Review the exact wording, spelling, arrows, dimensions, materials, colours and fixing details. Check that floor and room names match the building's agreed naming system. Record the revision that is approved for production; an old drawing or late name change can create avoidable rework.
For statutory, fire-service or safety signage, have the responsible project professionals confirm the applicable requirements. A catalogue image is a design illustration, not evidence of approval or compliance.
5. Agree the handover scope
Decide how the installed signs will be checked against the schedule. Include locations, quantities, finishes and any defects to be resolved. Ask whether care instructions, material information or other handover documents are included in the agreed package.
Quick answers
Can I request a quote without final artwork?
Yes. Start with plans, photos and a rough sign list. State that artwork or dimensions are provisional so the contractor can identify what needs confirmation.
Should every sign be the same size?
No. Size should suit the viewing distance, message and location. A door label is read nearby, while parking directions must be recognised earlier in the route.
